We’re looking for an Administration Officer to join the team.
ADMINISTRATION OFFICER JOB DESCRIPTION
To assist in the administration and general office procedures of all things Taste and Tour NI – Northern Ireland’s leading food and drink tour operator.
Reception duties, including answering incoming calls and scheduling appointments.
Plan and book tour itineraries.
Process guide and venue payments.
Follow up on phone calls and contacts as appropriate.
Answer general emails and postal correspondence with customers and suppliers.
Process and assess expenses and invoices.
File and archive accurate records.
Contact suppliers for orders etc.
Arrange travel and accommodation plans.
Organise and audit the company's systems, databases, and procedures.
Assist in weekly and monthly reports for the directors.
Provide administrative support for the directors as needed.
Assist in the sale of tours.
Collections/deliveries within Belfast, if necessary (mileage paid).
Adhering to GDPR compliance.
Ad hoc duties - this is not an exhaustive list.
THE IDEAL PERSON
At least 1 year’s experience as an administrative assistant or similar role.
Excellent organisational skills with the ability to multi-task.
Awesome attention to detail.
Strong written and verbal communication skills.
Knowledge of office management systems and procedures.
Proficiency in Microsoft Office (MS Excel and MS Word in particular).
Book-keeping / Payroll Experience – ideally having used Xero before.
Loves Food and Drink (because it’s what we do).
Likes dogs, because Barney and Ruby would be your colleagues too!
Monday to Friday, 9am to 3.30pm (32.5 hours per week) based at our office at Portview Trade Centre, Newtownards Road, Belfast. We can be flexible with working hours.
£18,000 per annum.
